Shipping

Where do I ship my materials and displays for Expo?  

1. Please read the Freight Handling Main and Quick Notes Freight Handling (under the Shipping Directions Tab) very carefully.

2. Please be sure to label your shipments with the Freight Label.

3. Make sure your company name is clearly visible.

4. You can leave the booth number blank.

Refer to Shipping Directions on the website for updates.

 

What is my booth # for the expo?

 

When filling out the Shipping Materials Form, companies do not need to include their booth #.

Registration

The recruiter who registered my company for Expo is no longer with us. What should I do?  

Recruiter(s) is responsible for all changes to their profile.  Any changes to their information have to be made by the Recruitment Support Specialist (RSS) Team. Please contact the appropriate Specialist at  http://fcc.mccombs.utexas.edu/staff/consultants_industry.asp 
 

Our address/phone/fax number has changed since my registration. How do I update my information?

How do I know my company is confirmed for Career Expo?  

After you have completed registration on the simplicity website, a confirmation e-mail will be sent to the main contact's e-mail address.  About one month prior to the expo, UCC will email out packages to registered companies including all needed information. Two weeks before Career Expo, UCC will contact each registered company via phone to confirm that the packet has been received.
 

What is a confirmation mail out?  

Before each Expo, UCC sends out a e-mass mail out to all companies registered before a specified date. The confirmation mail out includes any updated information, shipping instructions, maps, accommodations, parking permits, and other pertinent information. If we do not receive your registration before the deadline, we will fax you a copy of the confirmation packet as soon as we receive your registration form.
 

I'm a recruiter attending the Career Expo that is coming up, but did not receive the confirmation mailout. Why?

The confirmation mailout is sent only to the MAIN contact person indicated on your registration form. If you are also attending Expo, please communicate with your primary recruiter in order to get this information relayed to you.
 

I have not received my confirmation mailout. What do I do?  

Two weeks before the Expo, UCC will contact all the registered companies and make sure they have recieved their confirmation packets.  UCC will send out an email notifying all registered companies the date which the packages were mailed out.
 

I missed the deadline. What do I do?

You will need to contact UCC at UCC@mccombs.utexas.edu to be added to the waitlist. If there is not a waitlist, and there is still room available, UCC will contact you with the steps to sign up.
 

When is the last day for a company to cancel their registration, and what portion of the registration fee will be refunded?

The last day to cancel or register is August 27, 2008 If a company cancels before the deadline, the fee will be refunded in full. If a company cancels after the deadline, there will be no refund.


What is the deadline to make changes to the profile information for the brochure?

The last day to make edits and changes to your company information, that will be printed on a hard copy brochure for the career expo, is August 20, 2008.

Preparation/Before the Expo

What supplies should we bring to the Expo?  

UCC will provide a 10 ft. wide x 8 ft. deep curtained booth, 6 ft. table with cloth, 2 chairs, company sign, electricity, breakfast, boxed lunch, and 2 parking permits. UCC is not responsible for items such as extension cords, tape, scissors, or rope.


I'm from out-of-town. Where can I find accommodations?

You can find information about maps, hotels, and dining in the
"Recruiters" link on our website.  We also recommend that you visit Austin websites (e.g., www.austin360.com) to book a hotel prior to our mail out for availability reasons.

What time is check-in?

We suggest companies to check in from 8 am to 10 am. This will give time for recruiters to set up their booths and grab lunch.

How many recruiters can I bring?

Due to the limited amount of space available in the booths, companies can bring a maximum of 4 recruiters to the Expo.
 

Will there be an internet connection provided for my laptop?

Recruiters who bring their laptops to the Expo will only be able to access the internet in the recruiter lounge. If you are requesting wireless access, an access code will be provided upon request when checking in.

Parking

If you are carrying display materials to the Expo, proceed to the loading zone indicated in the enclosed map. Vehicles may remain at the loading zone for a maximum of 30 minutes. Vehicles left in this zone longer than 30 minutes are subject to towing. We will inform you of the parking options that will be available in the next few weeks.

Each company is provided two cards, unless additional permits have been requested. Extra
permits may be purchased at the registration desk for $7 each.

During the Expo

Will there be breakfast, lunch, or snacks provided?

Breakfast will be served between 8:00 am to 9:30 am.  Boxed lunches will be served between 12:00 to 1:30pm. Throughout the rest of the day, snacks and refreshments will be available at the recruiter lounge. Volunteers will be available to assist you with snacks and refreshments upon request

When can companies start shutting down the booths and packing up?

Because students can attend the expo a different times throughout the day due to class schedules, we ask recruiters to wait until 4:00pm to allow as many students to speak and network with your firm.

What is the attire?  

While students are required to dress Business Professional attire, recruiters are not required to. Business Professional attire is entirely optional to the representing company.
